Job Title: Administration and Facility Manager

Position Overview:

We are seeking a highly organized and proactive Administration and Facility Manager with prior experience in managing the upkeep and maintenance of Villas. The ideal candidate will have a strong background in facility management, preferably with a history in the Army or Hospitality industry. This role requires excellent leadership skills, meticulous attention to detail, and the ability to manage multiple tasks and projects efficiently and effectively.

Key Responsibilities:

• Oversee the daily operations of the villa facilities, ensuring a clean, safe, and well-maintained environment for residents and guests.

• Plan, coordinate, and supervise all maintenance, repair, and renovation activities, ensuring that all work is performed to high standards.

• Manage relationships with service providers, contractors, and vendors, including negotiating contracts and ensuring compliance with service agreements.

• Develop and implement maintenance schedules, safety inspections, and preventive maintenance programs.

• Conduct regular inspections of the facilities to identify and address issues promptly, including landscaping, plumbing, electrical, and HVAC systems.

• Coordinate with the administrative team to manage budgets for facility operations and maintenance, ensuring effective cost control and resource allocation.

• Prepare reports and documentation on facility management activities, performance metrics, and maintenance requests.

• Ensure compliance with health, safety, and environmental regulations, as well as any applicable local legislation.

• Collaborate with security teams to enhance the safety and security measures within the facility.

• Train, supervise, and mentor facility staff, promoting a culture of excellence and teamwork.

Qualifications:

• Bachelor’s degree in Facilities Management, Hospitality Management, Business Administration, or a related field is preferred.

• A minimum of 10 years of experience in facility management, specifically in residential or luxury property settings, such as villas or high-end estates.

• Previous experience in the Army or in the Hospitality industry is highly desirable, bringing strong leadership and operational skills.

• Strong knowledge of maintenance systems, safety regulations, and best practices in facility management.

• Excellent organizational and multitasking skills, with the ability to prioritize tasks effectively.

• Proven leadership abilities, with strong interpersonal skills to foster collaboration and team cohesion.

• Proficient in the use of facility management software and Microsoft Office Suite.

• Strong communication skills, both verbal and written.

• A proactive approach to problem-solving and decision-making.
